What is the Opportunity?
Build It Green is seeking an Administrative Project Associate to join our team!
The Administrative Project Associate is responsible for supporting upper management in delivering the organization's work under Energy Upgrade California and other programs. Energy Upgrade California is a groundbreaking residential rebate program designed to support energy efficiency in the existing housing stock throughout California.  The Administrative Project Associate’s primary responsibilities include providing administrative support, customer service, and field quality control tracking and reporting.
The Administrative Project Associate will have the follow duties and responsibilities:
  • Provide administrative support to Build It Green’s programs and projects, including support of Field Quality Control reviewers and verifiers.  
  • Coordinate Field Quality Control work flow for multiple programs.  
  • Identify and flag jobs for field verification and assign to verifiers
  • Track progress of verifications, manually or via automated system, and follow up to ensure completion.  
  • Effectively coordinate with Field Quality Control technical team to evaluate and interpret verifier reports. 
  • Promptly report Field Quality Control findings through assigned channels.  Follow up to ensure corrective action completion.  
  • Utilize excellent customer service phone skills to resolve issues with verifiers and homeowners.  
  • Utilize database(s) of Build It Green’s program and update as needed.  Communicate with IT staff to identify systems and tools to support Field Quality Control function.  
  • Coordinate with Field QC verifiers about changes to program policy and processes
  • Prepare project or program tracking and reporting within established deadlines
  • Actively participate in meetings as needed
  • Other duties as to be assigned
The ideal candidate will possess the following qualifications: 
  • Min 2 year in related experience in an administrative associate role or related position. 
  • Working knowledge of role-specific responsibility areas as it relates to administrative process and procedures.
  • Associate's degree (A.A.) from an accredited college in a related field or equivalent combination of education and experience. 
  • Valid California Driver’s License 
  • Residential building science knowledge, especially as it relates to green initiatives , highly desirable 
  • Intermediate proficiency with Excel, MS Office Suite and Windows operating system
  • Basic proficiency with Salesforce software
  • Complete contract or project tasks as directed, with limited supervision.
  • Provide input when requested to project or program strategies, procedures, and plans.
  • Manage multiple tasks and priorities to completion.
  • Complete work with accuracy and thoroughness.
